When you register, the system displays a red alert bar. Click on the alert box and you will be prompted to make some assignments so that the system can generate the requests for the documents required by the client.

It is a configuration of parameters that allow the system to generate the requirements that the client will request depending on the activity, risks, type of machinery, type of worker.

In these cases you should contact the support team and detail the tasks to be performed. In this way, they will be able to guide you with the assignment to be made and if there is no suitable group, they will contact the client to confirm which one to assign or if it should be configured.

You must search for your contract in the search engine and access your dashboard. Then in the menu on the left margin go to Assignments. On the right hand side, click on Configure clients. Select the checkbox for the clients of the contracting chain and click on Save. Then do not forget to make the mandatory assignments of the end customer for whom the documentation is managed on the platform.

This is because the system to display the customer's requests requires that the assignments are first made in your company or in the employee. You must assign everything that applies and that is marked as a mandatory assignment.

In this case, the first thing to do is to verify that we have added all the options configured by the client in our company's assignments. To do this, we will go to the main dashboard of our company by clicking on the dokify logo at the top left edge of the page. Then we will go to Assignments in the left margin menu. In the client's assignments tab, we will display the options in the corresponding section (risk, activities, positions) and if there are unassigned options, + Add new assignment will be displayed. Click on this sentence and we will see the rest of the groups configured, if we find ours or one that fits with what we want to assign to the employee or the machine, select the box and click on save configuration. This way when we return to the employee or machine assignments we can assign that option.

The employee's dashboard shows Accreditation customers. This shows the clients for which the worker or machine has been assigned and the icon of a smiley face which, in red or green, indicates Not accredited or Accredited. This face shows the obligatory documents of the company and of the worker or machine necessary for access to the client's installation.

In this case you should instruct your contractor to connect their employees to your company.

Just go to customers, click on your company name and then go to Employees→Disconnected, select the relevant employee checkboxes and click on the connect button. 

Just log in to Dokify.net and go to Login. There you will click on Forgot your login details? Enter the captcha code indicated and enter your username or email address associated with the user and then click on Submit. You should receive a password reset email from noreply@dokify.net.

All you have to do is go to company, employee or machine documents and click on the Templates tab. Inside you will find the documents that the customer makes available in folders.

Glossary of documents

I'm sure that many of the documents sound like Chinese to you, so here's a little help.

 Document that lists the risks that may exist in each and every one of the workstations, equipment and work centres that may affect the health and safety of workers.

Occupational risk training that the worker receives on being hired, adequate and specific for the job that he/she is going to perform in compliance with art. 19 of the law on occupational risk prevention.

Document that describes the preventive activity plan in order to control the risks resulting from the risk assessment. It must include the necessary human and material resources, as well as the allocation of the economic resources required to achieve the proposed objectives. It is the prevention technician who has drawn up the Risk Assessment who determines the measures that the company must plan and implement.

Document accrediting the relationship established between a natural or legal person (company) and a Mutual Insurance Company collaborating with the Social Security, for the coverage of work-related accidents and occupational illnesses of each and every one of its employees.

Specific on-site training for work at heights, given by an approved training entity or prevention technician on-site.

This is when the company designates a worker for a specific work or job with the function of supervising compliance with the preventive activities foreseen in the planning for risk control, checking that they are effective and adapting such activities to the risks to be prevented, and for which he/she must have 50/60 hours of basic prevention training.

This is the document signed by the worker, certifying that he/she is informed of the risks involved in his/her job.

This is a specific training certificate on the use and operation of machinery. Specifically, the one that corresponds to the type of machinery assigned to the worker on the platform must be provided. For example, if the worker is assigned to a lifting platform, a certificate of training in the use and handling of lifting platforms must be provided, in compliance with the criteria established by the client (theoretical-practical, on-site).

If your company has a PPS or PPS for all specialities (Occupational Safety, Hygiene, Ergonomics and Health Surveillance), it will be sufficient for you to provide only the act of constitution of the PPS or PPS in both sections. If it is mixed, that is to say, if you have SPP and SPA for Health Surveillance, it will suffice to make a single file containing the act of constitution of the SPP and the contract with the external prevention service for Health Surveillance. In the receipt section, you will only upload the proof of payment of the contract with the SPA for Health Surveillance.

This is a report issued by the Social Security General Treasury specifying the employees who are active in the company at the time the report is requested.
